Brown-Forman Executive Assistant in Amsterdam, Netherlands
Scope of the Position To provide PA support to members of the European Leadership team in the areas of administration, communication, organisation and project work.
Administrative and Organisation (60%)
Processing of general correspondence, prepare memos, letters and other documents as directed
Screening and handling of telephone calls and mail, internal and external. Take independent action where necessary
Managing the calendars•
o-ordination and planning of appointments, meetings, conferences, social events and other events
ollow-up of meetings etc. (e.g. meeting minutes)
Managing expat calendars, expenses and tax administration
Taking care of travel arrangements • Maintaining records and files as required•
Processing of expense reports
Taking turn in covering reception/office facilities duties (shared with 2 others)Communication (20%)
Preparing working documents such as presentations and reports by using the Microsoft office applications PowerPoint, Excel and Word as well as other online tools for virtual communication
Preparing and communicating meeting documents such as agendas, meeting minutes, etc.•
Drafting memos, letters and other correspondence for internal and external purposesProjects (20%)• Carrying out ad hoc administrative projects as required
Requirements Must requirements:
Achieved MBO education or similar with substantial administrative assistance experience at a senior level and in-depth knowledge of administrative office functions
Excellent organizational skills in planning and prioritizing work, to execute superbly multiple tasks under minimum supervision and follow through on commitment.
Ability to take ownership, handle and prioritize a high volume and varied workload independently in a fast-paced environment
High degree of independent judgment and initiative, in a team-oriented, self-managed and multi-cultural working environment.
High level of professionalism and courtesy in performing administrative duties and communicating appropriately with a variety of contact points.
Ability to exercise discretion and handle confidential matters appropriately.
Excellent computer skills, specifically Microsoft Outlook, Word, PowerPoint and Excel.
Highest standard of English language skills (spoken, written)• As required, ability and readiness to travel internationally.
Ability to develop and maintain effective work relationships.
Fluency in Dutch
Ability to travel as needed to attend meetings, conferences etc
