Brown-Forman Executive Assistant & BBI Specialist - Regional Marketing Europe in Amsterdam, Netherlands

Job Description:

Scope:

To provide PA support to the Marketing Director and his direct reports in the areas of administration, travel, communication, organization, meeting organization and project work. The team is international and total of four

people based internationally. In case of conflicts in workload the assistant/office management role with take priority over BBI.

Member of BBI Team Europe driving Brand & Business insights to support growth across the Europe Region.

Basic Function:

Executive Assistant

1) Administrative and Organizational

  • Co-ordination and planning of appointments, meetings, conferences, social events and other events.

  • Management & co-ordination of calendars.

  • Managing travel arrangements.

  • Processing of expense reports.

  • Screening and handling of telephone calls and mail, internal and external. Take independent action where necessary

  • Processing of general correspondence, prepare memos, letters and other documents as directed

  • Follow-up of meetings etc. (e.g. meeting minutes)

  • Maintaining records and files as required

  • Shared office management responsibility with other assistants in the Amsterdam office.

2) Region Marketing Budget Management:

  • Ongoing tracking of Europe Marketing A&P and SG&A budgets.

  • Processing of invoices and tracking of brand expense.

  • Presenting budget updates, tracking variances.

Region BBI Specialist

1) On-going Performance Tracking & Measurement.

  • Analysis of business and consumer metrics to understand performance of key brands across markets.

  • Preparing presentations to understand trends, variances vs. plan across the Region & for specific markets.

  • Inform Brand Director decision making by highlighting issues.

  • Key Data Sources: Internal sales, Nielsen, Brand Tracker.

2) Brand & Business Insights – Driving Strategy

  • Understand longer term brand & category trends for situational analysis on growth, consumer & channel trends, share, brand health.

  • Understand performance of competitive brands and their growth drivers to identify emerging opportunities or threats.

  • Develops a “story” beyond the data to synthesize different sources of data.

  • Identify and quantify potential new sources of growth.

  • Key Data Sources: IWSR, Brand Tracker, Nielsen, Competitive intelligence (including market input), qualitative studies, trend reports.

3) Driving Insights around Specific Brand Priorities:

  • Evaluation of potential and validation of ideas around new growth ideas.

  • Manages the design, implementation and monitoring of consumer research studies, coordinates activity with external market research companies and appropriate internal resources.

  • Key Data Sources: Design of tailor made qualitative & quantitative studies.

4) Grows BBI Capability & Team.

  • Participates as full member of Europe BBI Team supporting overall team objectives around building expertise, knowledge sharing & developing thinking and frameworks linked to overall Business Priorities.

  • Advises internal stakeholders on correct BBI approach for specific projects – brief, agency, methodology, agency, cost etc.

  • Creates analysis and stimulus to support market I&S Meetings – Helps market and Region team in preparation for these meetings through data driven insights.

Requirements:

Must requirements:

  • Achieved MBO education or similar with substantial administrative assistance experience at a senior level and in-depth knowledge of administrative office functions

  • Excellent organizational skills in planning and prioritizing work, to execute superbly multiple tasks under minimum supervision and follow through on commitment.

  • Ability to take ownership, handle and prioritize a high volume and varied workload independently in a fast-paced environment

  • High degree of independent judgment and initiative, in a team- oriented, self-managed and multi-cultural working environment.

  • High level of professionalism and courtesy in performing administrative duties and communicating appropriately with a variety of contact points.

  • Ability to exercise discretion and handle confidential matters appropriately.

  • Excellent computer skills, specifically Microsoft Outlook, Word, PowerPoint and Excel.

  • Highest standard of English language skills (spoken, written)

  • As required, ability and readiness to travel internationally.

  • Ability to develop and maintain effective work relationships.

Requirements BBI Specific:

  • 1-2 years working in an insights function (Client or agency).

  • Experience analyzing and interpreting data.

  • Familiarity with core data sources – Sales data, brand tracking, IWSR, Nielsen.

  • Understanding of qualitative and quantitative research techniques and process – ability to write briefs, select partners, manage projects, clearly present data and make recommendations.

Preferred Requirements:

  • Additional language (German or French preferred)

  • Experience of working in Marketing function

  • Experience of working at Board level in a PA/administrative role and of supporting a group of senior managers#ND 1#BFlogo - BAR
