Brown-Forman Executive Assistant - Corporate Communications in Amsterdam, Netherlands

Job Description:

Scope:

To provide assistant support to senior leaders in the areas of administration, organisation, communication and project work.

Primary Responsibilities:

Administrative and Organisation

  • Processing expense reports promptly and accurately

  • Calendar management

  • Making extensive travel arrangements taking into account differing budgets and preferences

  • Inbox management

  • Managing visa applications and immigration requirements for business travel

  • Manage invoicing and processing

  • Monitor progress against budget throughout the fiscal year highlighting variances and opportunities for savings

  • Coordinating and planning appointments, meetings, conferences dinners, social events and other events in Amsterdam and other locations

  • Following-up after meetings etc. (e.g. preparing and circulating meeting minutes, tracking completion of follow-ups)

  • Processing of general correspondence including preparation of emails, memos, letters, and other documents as directed

  • Managing expat calendars, expenses, and related tax administration

  • Identifying processes, technologies, or other means of improving efficiency and productivity for self and managers

  • Collaborate and be a team player alongside executive assistant and other administrative colleagues as needed

Communication:

  • Preparing working documents such as presentations and reports by using applications including Microsoft office PowerPoint, Excel and Word as well as Prezi and other online tools for virtual communication

  • Preparing and communicating meeting documents such as agendas, meeting minutes, etc.

  • Drafting memos, letters and other correspondence for internal and external purposes

  • Work with Corporate Communications and members of Assistant Team Europe on maintenance and evolution of the Europe News Portal and Europe Site

  • Lead quarterly production of All Europe Call deck

Projects

  • Carrying out ad hoc projects as required

  • Doing research on political, policy, and other corporate affairs subjects, e.g. background on Members of the European Parliament; identifying relevant trade associations across Europe and determining to which ones BF belongs

Must requirements:

  • Achieved MBO education or similar with substantial administrative assistance experience at a senior level and in-depth knowledge of administrative office functions

  • Ability to exercise discretion and handle confidential matter appropriately.

  • Excellent organizational skills in planning and prioritizing work, to execute superbly multiple tasks under minimum supervision an follow through on commitment.

  • High degree of independent judgment and initiative, in a team-oriented, self-managed and multicultural working environment.

  • Ability to recognize when direction is required and to ask for it.

  • Ability and willingness to occasionally be flexible about working hours.

  • Able to handle deadlines and pressure in fast paced environment

  • High level of professionalism and courtesy in performing administrative duties and communicating appropriately with a variety of contact points.

  • Ability and willingness to act as member of a team, both with managers and their reports and with administrative colleagues

  • Excellent computer skills, specifically Microsoft Outlook, Word, PowerPoint and Excel.

  • Highest standard of English language skills (spoken, written)

  • Ability to develop and maintain effective work relationships.

  • Ability to travel as needed to attend meetings, conferences etc

Preferred Requirements:

  • Additional language (German or French preferred)

  • Experience of working in HR or Corporate Affairs functions

  • Experience of working at Board level in a PA role

  • Experience of working for expatriates and managing the admin related to this

  • Experience working with Google products, particularly Gmail, Google Drive, and Docs, Sheets, and Slides
