Brown-Forman Executive & HR Assistant in Amsterdam, Netherlands

Job Description:


To provide PA support to the Europe HRD and Corp Affairs Director in the areas of administration, communication, organisation and project work. To provide HR assistance to the HR team in the areas of administration and payroll.

Primary Responsibilities:

Administrative and Organisation

  • Processing of general correspondence including preparation of emails, memos, letters, and other documents as directed

  • Managing individual diaries and inbox

  • Making extensive travel arrangements taking into account differing budgets and preferences

  • Coordinating and planning appointments, meetings, conferences, dinners, social events and other events in Amsterdam and other locations

  • Following-up after meetings etc. (e.g. preparing and circulating meeting minutes, tracking completion of follow-ups)

  • Managing expat calendars, expenses, and related tax administration

  • Creating, maintaining, and culling records and files as required, including contacts, project files, shared drives, and Google sites/communities

  • Processing expense reports promptly and accurately

  • Identifying processes, technologies, or other means of improving efficiency and productivity for self and managers

HR Administration and Payroll

  • Managing local employee files and documentation

  • Supporting HR with Dutch reporting and procedures

  • Managing monthly payroll process for local and expat payrolls, including associated documentation and audit information

  • Preparing and submitting Wage Tax documentation

  • Providing ad hoc support to HR team


  • Preparing working documents such as presentations and reports by using applications including Microsoft office PowerPoint, Excel and Word as well as Prezi and other online tools for virtual communication

  • Preparing and communicating meeting documents such as agendas, meeting minutes, etc.

  • Drafting memos, letters and other correspondence for internal and external purposes

  • Work with Assistant Team Europe on maintenance and evolution of the Europe News Portal and Europe Site

  • Lead quarterly production of All Europe Call deck


  • Carrying out ad hoc projects as required

  • Doing research on political, policy, and other corporate affairs subjects, e.g. background on Members of the European Parliament; identifying relevant trade associations across Europe and determining to which ones BF belongs

Must requirements:

  • Achieved MBO education or similar with substantial administrative assistance experience at a senior level and in-depth knowledge of administrative office functions

  • Ability to exercise discretion and handle confidential matters appropriately.

  • Experience managing local and/or expat payroll

  • Excellent organizational skills in planning and prioritizing work, to execute superbly multiple tasks under minimum supervision and follow through on commitment.

  • High degree of independent judgment and initiative, in a team-oriented, self-managed and multicultural working environment.

  • Ability to recognize when direction is required and to ask for it.

  • Ability and willingness to occasionally be flexible about working hours.

  • Able to handle deadlines and pressure in fast paced environment

  • High level of professionalism and courtesy in performing administrative duties and communicating appropriately with a variety of contact points.

  • Ability and willingness to act as member of a team, both with managers and their reports and with administrative colleagues

  • Excellent computer skills, specifically Microsoft Outlook, Word, PowerPoint and Excel.

  • Highest standard of English language skills (spoken, written)

  • Ability to develop and maintain effective work relationships.

  • Fluency in Dutch

  • Ability to travel as needed to attend meetings, conferences etc

Preferred Requirements:

  • Additional language (German or French preferred)

  • Experience of working in HR or Corporate Affairs functions

  • Experience of working with payroll

  • Experience of working at Board level in a PA role

  • Experience of working for expatriates and managing the admin related to this

  • Experience working with Google products, particularly Gmail, Google Drive, and Docs, Sheets, and Slides#ND 1
