Meaningful Work From Day One
The purpose of this position is to provide full Payroll and HR administration support for the Netherlands and Stein, working with the HR Manager to ensure an excellent level of service for employees, contractors and expats.
What You Can Expect
Manage the payroll for local employees in Amsterdam and Stein and support the expatriated payroll in collaboration with global mobility and compensation teams.
Process merit and promotional increases as well as bonus payments according to the appropriate timeline, working with the HR Manager and Total Rewards team to ensure compliance with the process.
Manage any required liaison with external parties, e.g. Safeguard and EY, staying informed of any new legislation and administering changes to payroll processing as required.
Providing assistance with preparing 30% ruling applications
Manage all HR Administration for employees – drafting employment contracts, vacation tracking, sick leave management, maternity, and other leaves processing, providing employment confirmations, and issuing employer’s statements.
Updating and maintaining all HR policies as required.
Liaising with the Total Rewards team on any visa requirements and supporting this process for new and existing employees, in conjunction with the HR Manager. Ensuring compliance with local immigration regulations.
Supports the HRM in projecting compensations/Total rewards based on actual data for new fiscal years, merit/STI revisions, and business reviews in collaboration with HR Managers, Accounting & Finance teams
Benefits administration including pension plans, product allowance, car leases, commuting allowance etc.
Ensuring that Workday is kept up to date and liaising with HRIT team as needed
Advise and directly support the HR Manager in the area of all HR topics specifically related to HR administration, processes, systems, Total Rewards, employee obligations related to all sorts of leaves and pension recognized by Dutch labor law
Coordinates and administers pension plans and leaves of absence.
Responsible for managing employee data relating to open positions, employment offers & contracts, compensation/job evaluation, benefit-related communication, new hire communication, orientation and onboarding, termination process.
Provides HR guidance to all employees on various HR topics and issues in partnership with the HR Manager including internal HR policies, practices, procedures & regulations.
Supports HRM in the execution of the onboarding process, collecting all obligatory documentation, contracts, payroll, guide onboarding and inductions plans for new hires or EEs changing roles. HR induction session to newcomers.
Ensuring that new starters on the payroll are onboarded effectively, including ensuring they are provided with IT equipment and liaising with the appropriate teams to enable a smooth onboarding process.
Providing assistance in cases of off-boarding and employment termination.
Ensure that employee changes are processed according to BF guidelines and that approved procedures are kept.
Maintain a proper set of personnel files, kept confidential & electronically, for all employees.
Taking care of Health and Safety related administration: liaising with B-F security team, arranging RI&E and PME and ergonomic checks, making sure First Aid certificates are renewed on time, and keeping contact with Arbo Services.
Providing information support to employees on various HR-related matters.
Following up on local NL Labor Regulations changes and informing HR Manager accordingly.
Assistance with processing HR-related invoices.
Any other ad-hoc duties and projects required by the HR manager
What You Bring to the Table
Education: College/University (Bachelors or Equivalent); Business, Law, HR, similar
Experience: Minimum of 2-3 years of experience in comparable HR Admin/Payroll role
Prior experience with Expatriated Payroll requirements and execution
Proven HR administration skills, Dutch Labor Law and payroll solid knowledge, compensation and benefits, recruitment, hiring, exits, HR documentation.
Excellent English and Dutch language skills
Ability to interact effectively with employees at all levels within the company & external partners.
IT & HRM systems savvy (Workday, LMS, Google tools)
Excellent organizational skills with the ability to manage priorities & workflow in a fast-paced, rapidly changing environment
Ability to think and act taking into consideration a wide perspective of possible solutions and scenarios
Action & result oriented, team player with the ability to work independently in multicultural environment
Advanced communication and interpersonal skills, tact and diplomacy
