Brown-Forman Operations Team Assistant and Projects Coordinator in London, United Kingdom

Meaningful Work From Day One

To provide PA support to the UK Leadership team (UKLT) in the areas of administration, travel, communication, organisation, meeting prep/planning and project work.

Internally this role will be called Executive Assistant and will be 5 days a week in the office.

What You Can Expect

Administrative and Organisational

● Coordination and planning of appointments, meetings, conferences, external social events and other events for the organisation

● Coordination and hosting of weekly UK Team Huddles and general UKLT presentation support

● Management & coordination of calendars for Senior Leaders as needed

● Management & leadership of projects assigned by Senior Leaders

● Assist with travel arrangements for Senior Leaders

● Preparing and communicating agendas, building presentations, taking meeting notes, action items and tracking completion of follow-ups

● Coordinate development and distribution of internal communication

● Manage internal communications i.e. newsletters, weekly huddle emails, ad hoc organisation-wide communications

● Budget management and organisation of customer trips

● Carrying out ad hoc projects as required to support the organisation e.g. Great Place to Work

MRM ownership & management for Customer Marketing

● Centralise and input activities into our marketing resource management tool (MRM) based on local Customer Marketing tracker.

● Track customer marketing activations to support the Customer Marketing team.

● Assist in brand budget consolidation at each month end.

Reception Cover

● Coverage of reception during lunch and when required

What You Bring to the Table:

● Experience of working in a PA/administrative role and of supporting a group of senior managers

● In-depth knowledge of administrative office functions

● Excellent organisational skills in planning and prioritising work, to execute multiple tasks under minimum supervision and follow through on commitments

● Ability to take ownership, handle and prioritise a high volume and varied workload independently in a fast-paced environment

● High level of professionalism and courtesy in performing administrative duties and communicating appropriately with a variety of contact points

● High degree of independent judgement and initiative, in a team-oriented, self-managed and multicultural working environment

● Strong interpersonal skills; able to develop and maintain effective working relationships with all levels of internal and external contacts and with diverse cultures

● Self-starter with proven ability to identify issues and projects, plan and prioritise with demonstrated ability to organise and manage multiple projects to completion by specific deadlines

● Adaptable, flexible, resilient, confident, proactive and curious

● Strong IT experience - MS Office applications & Google applications, Airparrot, Webex etc
