Meaningful work from Day One

In this hybrid role you will provide executive assistant support to the VP, Managing Director, ANZPI | IMENA | Turkiye as well as assisting the VP, MD with communication tasks including, but not limited to: writing and editing internal communications, the creation and formatting of internal presentations, event coordination and other communications and administrative support tasks as assigned.

What you will experience

As Communications Manager you will:

  • Work closely with the functional leads to help coordinate and deliver content for the monthly B-F Distiller

  • Learn how to upload content for the Distiller through Salesforce Marketing Cloud

  • Draft internal communications

  • Draft and format presentations

  • Draft communication for the B-F employer brand in collaboration with HR and B-Fs external communications consultant

  • Digital shelf updates

  • Be involved in community and social management communications

  • Proactively identifying and executing consistent internal communications throughout the ANZPI business in line with the communications strategy

  • Identifying the most effective communications channels for relevant messaging in the business

  • Increasing use of Chatter as a channel to build employee engagement

  • Identifying stories for BF social media channels and drafting relevant communications

  • liaising with ANZPI and global stakeholders to ensure ANZPI communications are in line with global messaging

  • Updating the communications playbook from time to time as required

  • In partnership with the HRD, Marketing Director and VP, Director Public Affairs educating BF employees on how to effectively communicate their messages through training, communications tips and coaching

As Executive Assistant to Managing Director:

  • Oversee / Coordinate VP, Managing Director, ANZPI | IMENA | Turkiye

  • Provide confidential administration support and insure the VP, MD and HR are aware of any issues

  • Work closely with ANZPI | IMENA | Turkiye Leadership Teams and ensure meetings are properly noted and that background information is provided

  • Closely monitor and insure travel schedules are current and that logistics and locations are communicated accurately

  • Secure advance agendas for outside meetings, place agenda items on e-calendar for ease of use around managing time and expectations

  • Update on a regular basis and provide a time buffer where needed for travel or other meetings running over.

  • Act as a key liaison to Brown-Forman regional and global contacts for key company events

  • Manage ANZPI and Regional calendar and ensure office is aware of outside meetings and events

  • Provide general support and guidance in other administration areas as needed

  • Oversee and monitor VP MD expenses in a timely manner as per the monthly finance cut off time

  • Create Daily meeting support hard copy files in advance for VP MD

  • Assist in organising /managing monthly ANZPI | IMENA | Turkiye Leadership Team and Operations Meetings

  • Oversee/Monitor general office condition/appearance and ensure compliance around keeping overall space organised and tidy.

  • Manage monthly morning tea business update events and distribute video updates thereafter. Updating and maintaining the business update slides and ensuring the agenda runs smoothly. Assist in the design, planning, and management of any B-F office events

  • Attend Senior Executive meetings as required and prepare agenda and minutes

  • Screen telephone calls and provide appropriate responses as necessary

  • Liaise with the functional directors where necessary regarding special events and visits from senior B-F personnel from the US and elsewhere

  • On behalf of the Executive Team, arrange catering for meetings on site as well as for travelling LT meetings each quarter

  • Provide secondary back-up to B-F switchboard and reception resources

Your profile

  • High School/GED/Secondary School; College/University (Bachelors or Equivalent); Arts, Communications, Public Relations

  • Proficiency in Google Suite (GMail, Slides, Docs, Drive), Salesforce, Coupa, Concur

  • 5+ years supporting an executive leader within an organisation of 250+ staff

  • 5+ years experience office administration experience

  • 5+ years experience in internal communications

  • Experience managing events within an office environment
