Meaningful Work from Day One

The Executive Assistant will work with four Executives of Public Affairs, Sales, Marketing and Commercial and Operations Excellence to provide one-to-one support, anticipating their needs and preferences, operating with integrity and acting as a brand ambassador for our company. You will be responsible for managing, organising and assisting with any tasks required from emails, drafting communications and reports, planning and organising meetings. This role also requires you to support our Office Manager when required. To be successful in this role it requires you to understand the operations of the business, have great interpersonal skills and be willing to take on a challenge.

What you will experience

Administrative support to the Senior Leaders

  • Actively manage Directors’ complex and changing diaries, including scheduling, negotiating appointments and meetings and organising associated and supporting documentation for Directors

  • Actively manage travel and accommodation bookings and itineraries for Directors; coordinate with other EA’s globally on meetings/visits by overseas colleagues

  • Provide confidential and high level executive administration support, anticipate needs and preferences and ensure Directors are aware of any issues

  • Coordinates effective meetings for Directors by organising and collating meeting agendas, providing confidential minute taking and distribution and coordinating follow up actions. This includes room bookings and equipment set up such as teleconferencing, audio visual presentations, refreshments and prepare/pack down.

  • Support Directors to prepare and present agendas, slides and powerpoint presentations in accordance with Brown-Forman presentation guidelines

  • Reconcile expenses within required time frames via accounting system for Directors

  • Prepare and monitor in a timely manner any personal expenses requiring

  • Reimbursement

Office Management

  • Provide general support and guidance in other administration areas as needed

  • Support Office Manager to oversee general office condition/appearance and

  • Ensure compliance around keeping overall space organised and tidy.

  • Support Office Manager in the design, planning, and management of B-F office events and National Conference

  • In conjunction with Office Manager, liaise with internal teams where necessary regarding special events and visits from senior B-F personnel from the US and elsewhere, providing travel support, calendar invites and drafting itineraries

  • Partner with Office Manager to provide back-up to B-F switchboard and reception resources as required

  • Exceptional organisational skills with a passion for planning, organising and prioritising administrative tasks and systems, including managing competing tasks rapidly and ensuring deadlines are met under pressure

  • A flair for creating visually appealing presentations in Powerpoint and/or Google Slides format

  • Maintain confidentiality

  • Able to work autonomously and in a team

  • Experience in designing infographics using systems such as Canva etc is highly desirable
